Picking the best CRM for pilates studios
There's a decent chance you already own a CRM. In fact, it probably came bundled in your studio software.
This piece isn't just a ranking of Pilates platforms, we already have one of those put together for you. This is about the CRM job specifically: what it is, and whether your studio needs a separate tool for it.

What is a CRM for a Pilates studio?
A Pilates studio CRM will combine your contact list information, package data, attendance, notes, and payment history all together in one easy-to-find place.
Two categories often get mistaken here:
- Studio management software (sometimes called booking or scheduling software) runs the schedule, takes the money, and keeps the roster. Most of it now includes some CRM capability, which is where the confusion happens.
- A CRM is the functionality that acts on the data in your client record. This includes things like follow-ups, reminders, segmentation, notes, and reporting.
Do you need a CRM, or is your studio software already doing the job?
Here's a yes-or-no test:
- When someone buys an intro offer, does anything automatically happen between their last intro class and their decision to join?
- Can you pull up everyone who attended at least four times last month but doesn't have a membership?
- When a new lead comes in from your website or Instagram, are you notified?
- If a client hasn't booked in 30 days, do they hear from an automation?
- Can an instructor covering a private see client notes?
If you answered no to three or more, you probably need better CRM capability.
Where can a Pilates studio get a CRM?
There are three common ways a Pilates studio can gain access to CRM features:

Which client moments does a Pilates studio CRM have to handle?
A Pilates client record has unique things it may track: which apparatus they prefer, which instructor, what injuries they may have. Here are a few things your CRM should handle for your Pilates studio:
1. New-lead follow-up: For when someone fills out a form or DMs you about classes and you can’t get back to them right away.
2. Intro offer to membership: A good CRM will give you data as the intro offer runs, and make sure to nudge the client along the way to convert them into long-time members.
3. Drop-in frequency trigger: If someone is coming often on a class pack and could be better served by a subscription, the CRM could be handling that automatically. It could also help you see if someone is at risk of leaving.
4. Apparatus and private-session progression notes: One Pilates instructor we interviewed described her old platform letting clients book her for either Reformer-room privates or Cadillac privates, not both, so she had to pick the lower-paying option because it booked more often. That is an example of a bad CRM that doesn’t have good note-taking or apparatus capability.
5. Lapsed-client win-back: A good CRM can run a win-back sequence on your lost clients.

FAQ
Does Mindbody have a CRM?
Yes, but it's tiered. Client profiles are on every plan. Automated email and text campaigns, the lead management dashboard, and list-building tools are on the Ultimate plan only.
Can I use HubSpot for my Pilates studio?
You can, and the Starter tier is inexpensive. The problem isn't price, it's data. HubSpot doesn't know when a client's 10-pack has two sessions left or that she books the Cadillac, so every studio-specific trigger has to be wired in from your booking system and maintained.
Is there a free CRM for pilates studios?
HubSpot and Klaviyo both have free tiers with contact limits. Neither includes attendance, packages, or apparatus data on its own. The cheapest working CRM for most studios is the one already inside a platform they're paying for.
How much does Pilates studio CRM software cost?
The cost of Pilates CRM software varies wildly depending on whether you use a multi-program tech stack or go with studio software (and, of course, depending on the software you pick). Something like an all-in-one OfferingTree costs about $100/month at the entry studio level, while a stack or some of the more expensive software can cost you hundreds a month.
